Administrative/Legal Assistant (Massachusetts)

The Firm’s Needs

We are seeking a thoughtful and conscientious individual to join our team as an Administrative/Legal Assistant. This is a newly-created full-time position; the individual will work in our office at 890 Winter Street in Waltham and report to the firm’s Director of Finance and Operations.

The individual must be focused on helping us provide excellent service to our clients – this includes generating high-quality work product, communicating effectively with colleagues and clients, adhering to deadlines, and working collaboratively with colleagues in the firm’s administrative team to balance workload, work efficiently, and prioritize effectively.

Primary Responsibilities

  1. Supporting the firm’s lawyers and contracts specialists with document preparation, including editing/formatting complex Word documents (e.g. lengthy contracts), editing/manipulating Excel documents, creating/formatting PowerPoint presentations, using PDF software to create new documents or combine multiple files into one, and using document comparison software to analyze revisions through contract negotiations
  2. General administrative/legal assistant duties, including organizing electronic and physical document filing systems, scheduling appointments, setting-up conference rooms for in-person and virtual meetings, handling all incoming and outgoing mail and package shipments, assisting with the coordination of firm functions and activities, and maintaining the organization and stock of office and kitchen supplies

Requirements for Education/Experience/Skills

  1. College degree
  2. 2+ years experience working in a law firm or similar professional office
  3. Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and Adobe Acrobat or similar PDF management software

Preferences for Additional Skills

  1. Knowledge of legal document management systems (the firm uses iManage)
  2. Knowledge of legal document comparison software (the firm uses Change Pro)
  3. Proficiency in Skype, GoToMeeting or other teleconference software
